Our Terms & Conditions

Wild Atlas Explorations (“WAE,” “we,” “us,” or “our”) provides customized travel planning and operates trips in partnership with vetted local suppliers and expert ground teams around the world. By submitting a planning fee, booking travel services through us, or traveling on a WAE-organized itinerary, you (“you,” “traveler,” or “client”) agree to the following Terms & Conditions.

1. Planning FeeOur trip-design and consultation fee is non-refundable under all circumstances.
This fee covers destination research, itinerary design, proposal drafts, consultation calls, and coordination with our ground partners. It is not applied to the cost of the trip.

2. Payments & Booking Confirmation
A booking is confirmed only when: You approve the itinerary and price; and We receive the required deposit or full payment (depending on timing).

Typical payment structure:

Deposit: 25–40% of the total trip cost (varies by destination and supplier requirements)

Final Balance: Due 60–90 days prior to departureLate payments may result in cancellation of services.All prices are quoted in USD unless otherwise indicated.

3. Cancellations, Changes & Refunds Client-Initiated Cancellations: Because WAE works with boutique lodges, small safari camps, and specialized ground teams, all cancellation policies reflect those of our local suppliers.

Generally:
Deposits are non-refundable after confirmation.
Payments made after the deposit may be partially refundable based on supplier rules and the timing of cancellation.
Cancellations made within 60 days of travel are typically 100% non-refundable.

Refunds, if applicable, will be issued only after we receive them from the suppliers.

Changes by the Traveler We will make reasonable efforts to accommodate changes. Additional costs or fees from suppliers will be passed through to the traveler.
Changes by WAE If unexpected circumstances require an adjustment to the itinerary, we will offer a comparable alternative whenever possible. These adjustments do not entitle the traveler to a refund.

4. Travel Insurance
Comprehensive travel insurance—including trip cancellation, interruption, medical coverage, and evacuation—is strongly recommended. Some destinations or operators may require proof of coverage. It is the traveler’s responsibility to purchase adequate insurance.

5. Traveler Responsibilities
You are responsible for:
Ensuring your passport is valid for at least 6 months beyond travel dates
Obtaining visas, entry permits, vaccinations, and health documentation
Adhering to customs, laws, and regulations of the destinations visited
Communicating any medical conditions or mobility limitations prior to booking
Reviewing all itinerary documents, confirmations, and travel details for accuracy
WAE is not responsible for denial of entry, missed flights, or costs arising from incomplete or inaccurate personal documentation.

6. Health, Fitness & Assumption of Risk
Travel arranged by WAE may involve remote locations, wildlife encounters, uneven terrain, active excursions, and outdoor activities. By traveling with us, you acknowledge:You are voluntarily participating with full understanding of the inherent risksYou are physically capable of the activities includedYou assume responsibility for personal safety and any resulting injury or loss

7. Supplier Responsibility & Liability
WAE operates as a travel planner and coordinator. Lodges, camps, airlines, transfer companies, ground operators, guides, and activity providers (“Suppliers”) are independent contractors and not agents or employees of WAE.

Therefore:
WAE is not liable for acts, omissions, negligence, delays, or failures of Suppliers
WAE is not responsible for injury, illness, property damage, theft, or death
WAE is not responsible for events beyond our control such as weather, wildlife behavior, political unrest, epidemics, natural disasters, or government actionsAny claims arising from Supplier performance must be made directly with the Supplier.

8. Itinerary Modifications Due to Force Majeure
WAE reserves the right to modify or cancel any portion of the trip due to circumstances outside our control, including but not limited to weather events, pandemic-related border issues, strikes, or operational limitations. Refunds are not guaranteed in such situations, as Supplier policies will govern.

9. Pricing & Fluctuations
Trip prices may fluctuate due to:
Foreign exchange rates
Supplier adjustments
Fuel surcharges
Government taxes or fees
WAE may pass through necessary changes prior to final payment.

10. Use of Images & Testimonials
You grant WAE permission to use non-identifiable photographs, feedback, and testimonials from your trip in marketing materials, unless you notify us otherwise in writing.

11. Governing Law
These Terms & Conditions are governed by the laws of the State of Delaware, without regard to conflict-of-law principles. Any disputes will be handled exclusively in the courts of Los Angeles county California.

12. Acceptance of Terms
Payment of the planning fee or any trip deposit signifies your acceptance of these Terms & Conditions.
