This is where we help you refine your ideas—and make sure we’re the right partner.

Step 2 — Trip Design Retainer ($200)

To begin building your bespoke itinerary, we take a $200 planning fee.This small retainer allows us to: (1) secure soft holds at top lodges; (2) consult with our in-country partners; (3) run availability checks; (4) create a custom, multi-option itinerary; (5) protect the significant time required to design a truly exceptional trip.

Step 3 — Your Bespoke Itinerary (Proprietary Planning Process)

Once the planning fee is received, we begin our structured design process:

A. Inspiration & Vision: We translate your goals into a framework—destinations, pacing, seasonality, wildlife patterns, and experience types.
B. Logistical Feasibility: We evaluate internal flights, routing, seasonality, and lodge availability to build the smartest itinerary possible.
C. Curation & Drafting: You receive: (a) A fully customized itinerary; (b) 2–3 refined variations if needed (c) Preferred lodge options (d) Experience recommendations (e) Pricing transparency (f) Seasonal wildlife notes (g) Routing maps.

This is where the magic happens: your vision becomes a real journey.

Step 4 — Refinement & Confirmation

We iterate until it feels perfect.
Once approved, we:Book all accommodationArrange flights and transfers (internal + optional international)Confirm private guides & activitiesSecure permits (gorilla trekking, park fees, balloon flights, etc.)Share packing lists, travel tips, and destination briefingsYou receive a digital travel dossier with everything you need.

How far in advance should I start planning?Peak-season safaris and island lodges often book 9–12 months in advance.
Other regions can be planned 4–6 months out. Earlier is always better.

What is included in the $200 planning fee?It covers the time and expertise required to design a fully customized itinerary, including lodge holds, routing design, and partner consultations. The fee is applied to your final trip cost.

Do you offer group tours?No. Seasons Travel Co. specializes exclusively in private, bespoke itineraries. Every journey is designed from scratch.

What is a typical budget for your trips?Most travelers invest $6,000–$18,000 per person depending on destination, season, and length.
Ultra-luxury itineraries can exceed this.

How do payments work?Once you approve your itinerary, a deposit (often 20–30%) is required to secure camps and lodges. The balance is typically due 60–90 days before travel.
